Terms of Service

These Terms of Service ("Terms") govern your use of the Deepnotis platform ("Service") operated by PLAYBLAST LTD ("we", "our", or "us"). By accessing or using Deepnotis, you agree to be bound by these Terms.

1. Legal Entity

2. Eligibility

You must be at least 18 years old or the age of majority in your jurisdiction to use the Service.

3. Use of the Service

You may use Deepnotis solely for lawful academic or professional purposes. You agree not to:

  • Upload content that violates copyright, privacy, or data protection laws.
  • Attempt to reverse engineer, tamper with, or misuse the platform.
  • Exploit bugs or vulnerabilities.
  • Circumvent our pricing, quota, or access systems.

4. Accounts and Access

You must create an account to use the full Service. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. Notify us immediately of any unauthorised use.

5. Intellectual Property

Your Content: you retain full rights to your uploaded documents and converted outputs. We do not claim ownership of your content.

Limited Review: we may review uploaded documents in rare debugging cases, only confidentially and in compliance with our Privacy Policy.

Our IP: all intellectual property related to Deepnotis (software, branding, UI, model weights) is owned by PLAYBLAST LTD.

6. Plans, Billing and Cancellation

Plans. Deepnotis is offered through tiered subscription plans (Nota, Copia, Summa, Institution). Each plan has a monthly document quota and a retention window described on the pricing page. The Nota plan is free of charge.

Billing.Paid plans (Copia, Summa) are billed in advance on a monthly or yearly cycle, in GBP, via Stripe. Subscriptions renew automatically at the end of each cycle until you cancel. Prices may change with at least 30 days' notice; existing subscriptions continue at the original price until the next renewal.

Cancellation. You can cancel at any time from your Account page. After cancellation, your subscription remains active until the end of the current billing period; you keep paid features until then. After that, your account reverts to the free Nota plan.

Refunds. Subscription payments are non-refundable. We do not pro-rate refunds for unused days within a billing period or for early cancellation. This is reflected in the discounted price of paid plans.

Right of withdrawal (EU/UK consumers). By starting to use a paid feature immediately upon subscribing, you expressly request immediate performance of the contract and acknowledge that you lose the statutory 14-day right of withdrawal under the UK Consumer Contracts Regulations 2013 and the EU Consumer Rights Directive (2011/83/EU, Art. 16(m)), because the Service is fully digital and has been performed with your consent.

Failed payments. If a renewal payment fails, we will notify you and retry. If the payment is still not collected after the retry window, your account is downgraded to the Nota plan.

Card data. We do not store your card details. All payment data is handled by Stripe under PCI DSS Level 1.

7. Document Handling

  • Uploaded documents and converted outputs are stored securely for the retention window of your plan (30 days on Nota, 365 days on Copia, the lifetime of the subscription on Summa / Institution), then permanently deleted.
  • You may download or re-export your documents at any time during the retention window.
  • You can also delete a document manually at any time from your Account.

8. Service Availability

  • We aim for high reliability but do not guarantee uninterrupted availability. Maintenance windows, third-party outages (Supabase, Stripe, Cloudflare, Resend), or unforeseen issues may cause temporary downtime.
  • We may suspend, update, or modify parts of the Service to improve, secure, or repair it. Material changes that affect paid plans will be announced in advance.
  • We are not liable for events beyond our reasonable control (force majeure), including but not limited to cyber-attacks, ISP outages, or government actions.

9. Termination

We may suspend or terminate your account without notice if you:

  • Materially breach these Terms.
  • Upload unlawful or harmful content.
  • Attempt to bypass quota systems, abuse the Service, or harm other users.
  • Engage in fraudulent payment behaviour (chargebacks without contact, stolen cards, etc.).

On termination, your access ends immediately and your data is deleted in accordance with our retention policy. No refund is owed for the unused portion of the billing period in case of termination for cause.

10. Limitation of Liability

  • The Service is provided "as is" and "as available", without warranties of any kind, whether express or implied.
  • We do not guarantee the absolute correctness of citation output. You are responsible for proof-reading and validating citations before publication, particularly for critical contexts (theses, journal submissions, legal filings).
  • To the maximum extent permitted by law, our total liability for any claim arising out of these Terms or your use of the Service is capped at the amount you have paid us in the 12 months preceding the event giving rise to the claim. This cap does not apply to liability for fraud, gross negligence, or anything that cannot be excluded by law (such as death or personal injury caused by negligence under UK law).
  • In no event shall PLAYBLAST LTD be liable for indirect, incidental, consequential, or special damages, including loss of profit, loss of data, or loss of opportunity.

11. Governing Law and Disputes

  • These Terms are governed by the laws of England and Wales.
  • EU/UK consumers retain the protection of mandatory provisions of the law of their habitual residence.
  • You agree to first contact us at support@deepnotis.com to attempt an amicable resolution before any judicial action.
  • If unresolved, jurisdiction shall rest with the courts of England, subject to mandatory consumer law of your country of residence (if you are a consumer in the EU/UK).

12. Updates to Terms

We may update these Terms as the Service evolves. Material changes will be communicated via email at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance.
